1. Attendee Lunches

Support feeding hungry attendees at the Annual Meeting & OTO EXPO.

This is the only unopposed daily time when all attendees gather. All attendees are invited to take a break from their sessions and enjoy a free box lunch in the exhibit hall. Show your support while promoting your brand by purchasing this sponsorship.

Lunch sponsor(s) will be listed in the mobile app and on the conference website, and they will have visible signage in the lunch area. Logo recognition will appear on napkins. The sponsor will be included in the lunch reminder push notification, as well as in various pre-conference promotions.

2. Exhibit Hall Breaks

Everyone deserves a beverage break after participating in thought-provoking educational sessions.

Choose from either a coffee or a popcorn break for attendees that will earn their lasting appreciation. Logo placement will enhance visibility for this meaningful sponsorship, and a push notification in the mobile app will inform each attendee about the complimentary break at the OTO EXPO.

Coffee breaks will be available in the exhibit hall at two locations, popcorn machines will be spread out at four locations, with sponsorship recognition displayed at all spots.  The sponsor will be acknowledged in a push notification through the mobile app sent to all attendees. Additionally, the sponsor will be included in the mobile app, on the conference website, and in various pre-conference promotions, alongside prominent signage at the stations.

This opportunity is truly a fantastic way to connect with our VIP guests and increase your brand’s visibility within the otolaryngology community! The Lounge will be strategically located in the Indiana Convention Center.

4. Opening Ceremony

This important event kicks off the Annual Meeting and energizes the audience.

Join us on stage as we open the AAO–HNSF 2025 Annual Meeting & OTO EXPO in Indianapolis with the Opening Ceremony, held at the Indiana Convention Center on Saturday, October 11, at 8:00 am. The ceremony—featuring Academy leaders, Presidential Citation recipients, and inspirational videos showcasing members—is the place to see and be seen, greet longtime friends, and connect with new colleagues.

Sponsors will be acknowledged and listed wherever the Opening Ceremony is mentioned throughout the mobile app, website, and event reminder push notifications. Sponsors will receive recognition in the "Know Before You Go" emails sent to all attendees. Additionally, sponsors will have visible signage outside the ballroom and will be recognized on the welcome slides as attendees enter. Sponsors will also be offered the opportunity to have a table at the event, where they can bring their branded table skirt and any giveaways.

5. Presidents' Reception

This event is the most attended of the meeting, with over 1,800 participants in 2024, making it the perfect opportunity to showcase your brand!

As a sponsor of the signature social event of the Annual Meeting, your sponsorship will offer exceptional visibility and recognition to meeting participants. 

Sponsors will be recognized and listed wherever the President's Reception appears within the mobile app, website, and event reminder push notification. Sponsors will receive acknowledgment in the "Know Before You Go" emails sent to all attendees, along with various pre-conference promotions. Sponsors will have visible signage in the reception area. Additionally, sponsors will be given the opportunity to have a table at the event, where they can display a branded table skirt and bring any giveaways.

6. WIO General Assembly

Support the Women in Otolaryngology (WIO) Section during their largest educational event of the year.

Over 500 women ENTs will gather to network and learn from speakers and panelists addressing topics of importance to women in the specialty. Your support will include brief remarks during the General Assembly and logo recognition during the assembly. 

Sponsors will be recognized and listed wherever the WIO General Assembly appears in the mobile app and website. Sponsors will have visible signage outside the ballroom. They will be acknowledged on the welcome slides as attendees enter the ballroom. A sponsor representative will make brief remarks (max 2 minutes). Sponsors will have some reserved seating at the front of the room. The sponsor logo will be included on scrub caps distributed to attendees.

7. International Reception

The sponsor will also have visible signage within the reception area.
